Start with a structured, matter-specific screener
An effective intake asks only the questions needed to identify a potential match before requesting more sensitive documents. A pharmaceutical campaign may need medication type, duration and diagnosis; an institutional abuse campaign may focus on location, confinement dates, and the alleged conduct. The screen should be reviewed by the handling attorneys and updated when legal or medical standards change.
Keep a clear path from inquiry to attorney review
Use distinct statuses: received, contacted, preliminarily qualified, records requested, documents received, retainer sent, retainer completed, accepted, rejected, or follow-up required. These milestones make it easier to investigate a stalled case. Do not assume every signed engagement is an accepted or filed case.
Collect documentation securely
Depending on the litigation, records may include pharmacy histories, imaging, diagnosis reports, employment or detention records, exposure histories, and executed authorizations. Use role-limited storage and a documented access process. Medical and other sensitive records must not appear on the public catalog or search-indexable pages.
Coordinate signatures without replacing legal judgment
Law firms frequently require more than a one-page retainer: fee agreements, authorizations, questionnaires, disclosures, and matter-specific forms may all be necessary. Digital intake can help reuse verified fields across documents and present the appropriate signature steps. Participating counsel remains responsible for the wording, legal sufficiency, conflicts, acceptance, and representation decisions.
Measure intake quality
Useful metrics include response speed, percentage contacted, percentage meeting preliminary screening criteria, missing-record rates, executed-document rates, and eventual attorney acceptance. If a campaign produces many leads but few documented qualified inquiries, change the targeting or intake questions before expanding the spend.
